Phone bookings eat your front desk's time, and manual bookings on WhatsApp create chaos: two appointments in one slot, or a customer who booked and never got a confirmation. The fix: smart appointment booking on WhatsApp that runs on its own.
How smart booking works
- The customer writes: "I want to book on Thursday".
- The agent asks about the service if it isn't clear and offers only slots that are really free.
- The customer picks one; the agent confirms and sends the details.
- A day before, an automatic reminder. The customer can cancel or reschedule in the same chat.
What prevents double bookings
- Working hours and days off set for your business.
- A duration per service and the number of bookings allowed at the same time (chairs, rooms, technicians).
- A check at booking time: the last free place is never given to two people at once.
- Google Calendar sync: busy times in the doctor's or manager's calendar are never booked, and each new booking is written to the calendar.
Deposits reduce no-shows
If no-shows are high, ask for part of the price upfront. The agent sends a payment link at the service's price from your list (it never writes the amount itself) and confirms as soon as the customer pays.
Outside the 24-hour window
WhatsApp doesn't allow free-form messages more than 24 hours after the customer's last message. So a reminder sent after the window must be an approved template — aref.ai lets you pick the template and fills in the name, service and time automatically.
After the visit: ask for a review
A few hours after the appointment, one message with your Google review link grows your reviews naturally.
